Start from your workflow, not from a feature list
Every vendor has a feature list, and they all read alike. The test that separates them is your own day, run live. Ask for a demo that follows one client end to end: an enquiry, the identity check, the agreement, the payment, the plan, one recommendation with its rationale, its delivery, an update to it, the record it leaves, and finally a cancellation or a refund. Wherever the demo needs a spreadsheet, a second tool or a person to step in, that is where your time and your compliance will leak later.
Onboarding: identity, agreement, money
Ask four things. Is the PAN checked against the KRA record before the form is filled, with the official name filled in for the client? Is the MITC and Investor Charter actually read before it can be signed, and does the signature leave a certificate with identity, time, IP address and the exact document? Does the money land in your own merchant account, with invoices in your own series and your GST treatment? And is the SEBI fee cap for one PAN checked before a payment starts, not discovered at audit?
Delivery: only the people who paid, on every channel, with proof
A call should reach exactly the clients whose plan includes it, and nobody else, even when the same client holds two plans. Ask how entitlement is decided: by plan, by strategy and by market segment, or by a group someone maintains by hand. Ask which channels carry it (a client portal, WhatsApp on your own number, a Telegram channel whose membership follows payment, email) and whether every message leaves a delivery record. Then ask what happens to a stoploss change: it should reach the same list, in the same second, with your note.
The research record
Every call, its rationale, every update and its exit should be stored with a timestamp and be retrievable by client and by date. Ask to see the report behind one call, and ask whether the technical, fundamental and summary text can be kept per strategy so that each report starts in the right words. Ask what you would hand an auditor, and how long it takes to produce.
Your brand, and what still shows through
White label should mean the client portal runs on your domain and the agreement, the invoices, the emails and the messages carry your name. Every platform has some place where the vendor still shows, such as a payment page or a signing screen. Ask for that list in writing. A vendor who can hand it over has looked; one who says there is nothing has not.
More than calls: what else you can sell
Recommendations are one line of revenue. Ask whether the same checkout can sell model portfolios, research reports on request, courses and webinars, and whether enquiries from your website, WhatsApp and campaigns land in one CRM. Each separate tool you add later is another login, another bill and another place a client record can go stale.
Price: ask for the whole month, not the headline
Compare the full cost of your first month on your own numbers: any setup or joining fee, the monthly platform fee, charges per staff login, any share of what your clients pay, messaging charges, and who bears the payment gateway fee. A vendor who publishes every rate lets you do this before the first call; ask the others to put it in writing.
What no software can do for you
No platform makes a practice SEBI compliant. Compliance stays with the registered analyst. What good software does is make the required steps hard to skip and easy to evidence. Treat any claim of being the number one compliant platform with care, and ask instead to see the record each step leaves behind.
